Outlook Signature Tool

The Scripting IT Outlook Signature Tool ensures your users get a consistent Outlook signature that contains either text or images (such as company logo), and is easily accessible by users from their desktops.

Signature Tool Management Options

Layout, look and feel

Clients provide a demonstration signature (or signatures if using multiple options)

Multiple signatures

Clients can be prompted to choose a department and optionally sub options allowing for differences in signature template by group

Active Directory integration

Pull user details from Active Directory (such as phone, address etc)

Put user details to Active Directory (update user details such as phone, address etc)

Which details are pulled or updated are also optional

Automation

Auto prompt users who have not created a signature or when wide signature changes are needed such as address (can be set to only update users with given address etc)

Record user preferences

Record users options on home drive and present ­­­these as defaults when provisioning signature on new machines

Logging

Log centrally, locally, event logs etc

Target limiting

Do not prompt users in given AD groups (especially useful for IT staff or excluded users such as temp users)

TaskInfo

The signature tool is often managed through TaskInfo of which a generic version can be included with the tool

Reply or New email limiting

Signatures can be attached to all emails or only newly created emails (do not include in reply)

Pull data from HR, Database or other sources

Custom development may be able to pull user data from sources other than AD.

Automatic backup of previous signatures

Old signatures can be retain and still allowed as options in Outlook clients, alternatively they can be removed

Costs

Signature tools are generally created as a project. ScriptingIT work with the business to define the options, provide POC, pilot, deployment and auditing. These projects are based on hours and can be fixed cost or time and materials. Support agreements are available but not mandatory and are based on flexible support options.

Notes

  • With updates to tools like Exchange 2010 it is possible to auto attach signatures to outgoing mail. Details are pulled from Active Directory, however these details are often missing or stale. Interacting with the end user provides correct data and optionally keeps this data correct or populates it in Active Directory
